ENTER YOUR OWN PARISHES, PREFIXES & SUFFIXES  3/13/06
You can customize the parishes that are used in the Personal tab for members. Just go to the Tools menu and click Tables. Select Parish, click Add, and type a new parish name. You can do the same for name prefixes and suffixes for you member.

ASSIGNING DUES INDIVIDUALLY  12/9/02
If you need to assign a charge to just one member do not use Process Member Dues.  Instead, go to the member's ledger screen and click on the Add button at the bottom.  In the new window that appears, make sure Annual Dues is selected and type in the amount and date of the transaction.  Clicking on OK will then add the amount to that member's record.

LABEL SELECTION  11/18/02
The FSPC software provides two mailing label sizes.  Two-across labels fit 20 on a sheet, two across and ten down.  Three-across labels fit 30 on a sheet, three across and ten down.  You should print a test of each to determine which size you like best.  A number of financial secretaries report that the font size is too small on the three-across labels.  The two-across labels have a larger font size.  The Avery numbers for the two-across labels are 5261 or 5161.  The Avery numbers for the three-across labels are 5260 or 5160.  Most office supply stores carry Avery brand label sheets.

TAKE BACKUPS REGULARLY  8/13/02
This is not so much a tip as it is a reminder.  FSPC users must be aware of the importance of backing up their data.  The process is simple - see the Backup & Restore help sheet.  By having a backup on a floppy disk you are insuring the safety of your records.  Your computer could crash (e.g. power cord could accidentally be unplugged) and you could lose all your data.  But if you have a backup, the data is safely on a floppy disk.   Also, if you make a mistake in FSPC that is serious, you can restore a backup and overwrite the data in FSPC with the data on the disk.  You never know what will happen - this is why you should backup your system regularly, and keep two to three backups on hand.

FORMAT REPORTS  6/4/02
You can modify the appearance of reports by exporting the report to a file.  For more information, see the Exporting Data help sheet.  Once you save the report to a file, you can open up the file in another program like Excel or Word and change the formatting of fonts, spacing, etc.

SEARCH THE FSPC WEBSITE  4/17/02
You can search for a certain topic or phrase in the FSPC website.  Simply go to Google (www.google.com) and type in FSPC followed by key search words.  For example, type in 'FSPC 2nd notice.'  The first results returned will be pages with those terms on them.  This is a quick way to search for relevant information in the FSPC website.

QUICK-PICK FROM LISTS  4/5/02
You can quickly jump to names listed in the Select windows in FSPC.  For example, in Member Information, clicking on the Member button brings up the Select Member window which lists all the members.  Type a letter on the keyboard to jump to last names beginning with that letter.  The same can be done in the Select Query window and in the Data Source Fields window (User Defined Reports).  Also, instead of typing one letter, two can be typed in rapid succession - for example, typing O U will take you to Outstanding Balance in the list of queries.  This trick saves you from scrolling down long lists.

COUNCIL FORMS ONLINE  2/26/02
There are a number of council forms available on the Knights of Columbus web site.  There are a dozen or so forms which can be submitted electronically, and there are even more forms which can be printed out.  Simply go to the Knights of Columbus homepage at www.kofc.org, choose the Member link on the left navigation bar, choose Publications & Forms, and choose Online Council Forms - or simply click here to be linked immediately to the online council forms page.

MEMBERSHIP CARDS - QUERY SELECTION  2/15/02
When printing up membership cards, choose a query other than Membership Cards, which is the default query.  The Membership Cards query is difficult to satisfy and some members may not be able to meet the requirements necessary in order to have a card print out for them.  A good query to use instead is Billable Members or Associate & Insurance

PRINTING OUT BILLS IN SECTIONS  2/15/02
You may not want to print out all your bills at once, especially if your printer does not hold enough sheets of paper to accommodate the number of bills.  In this case, you can choose to print out a small range of bills.  After you hit Run (in the Run Reports window with Bill selected and Printer selected), you will get a Print window.  In this window you can enter in a range of pages to be printed - for example, from pages 1 to 25.  When you finish printing this set, you can follow the same procedure and enter pages 26 to 50.  This will allow you to print your bills in manageable segments. 

STORING AN EMAIL ADDRESS  2/15/02  Updated 9/23/02
The FSPC program presently has no dedicated area for storing an email address.  The best way to store an email address appears to be in the Miscellaneous screen of the member's record.  Store the address in the Comments field.

CHANGING A BILLING NOTICE MESSAGE  2/15/02
You may type a message which will appear on the Billing Notice and 2nd Notice.  This message must be entered in the Process Member Dues area, located in the Procedures menu.  The Bill Message area is where you type your message.  PLEASE NOTE: if you click OK at the bottom, all your members will be assigned annual dues.  If you simply want to change the message, click on Cancel when you are done, and the message will be saved without charging members annual dues.
