EXPORTING DATA
The FSPC program provides the ability to save data to files. These files can then be opened in other programs. This can be done for any of the reports the FSPC program contains. Therefore, if you need certain data, like names and degree dates, you can create a User Defined Report and save this report to a file.
User Defined Reports
The User Defined Reports are the best way to organize data and save it to a file. Any report can be created by the user. Here we will create a simple report with the member’s name, degree, and age.
Creating a Report- Go to the User Defined Reports. Click on the Add button in the upper right. Type a name for the report in the upper left box, ‘Degree and Age.’ Set the Group to Associate & Insurance. Set the Data Source to Members. Click on the Add button just below the Data Source. Choose the field Last Name and click Ok. Click on the Add button again and choose Name-Member’s Full. Repeat this for the fields Degree and Age. Now click the Last Name entry, on the top row. Off to the right click on Sort, click on Ascending, and click on Suppress Printing. This will sort the data by last name but not print the last name, since it will be included in the Name-Members Full field. Lastly, click on the Group Report box below and to the right click on the drop-down arrow and select Degree. This will group the records by degree. The final setup of the report is shown above. Saving the Report- To save the user defined report to a file, click on the Data File selection at the bottom of the User Defined Reports window. Click on the drop-down arrow to the right of Data File and select Excel worksheet.
It is also possible to save the report in the other three formats listed, or to save it as a Text File by changing the Output To selection to Text File. Once you choose the Data File format type, click on the Run button. You will then be prompted to name the file and to determine where the file will be saved. Remember this information so that you can find the file later.
Opening the Report- For the purposes of this example, we will next open up Microsoft Excel. Once inside Excel, open up the file just saved in the FSPC program. The information now appears in Excel and it is possible to modify its appearance in any way you wish. NOTE: The report may not group the information as it did in FSPC, but all the information should be there.
